Invite admin and drivers to your team

It is time to invite your designated team members to Fluid Truck. Let’s get them added to your company account, so they can get on the road.

Step-by-Step Instructions

  1. Within the App, open your Account Menu in the upper left-hand corner. 
  2. Select Organization Management to review your team members. 
  3. You can select the Accepted tab to see a current list of team members. Or select the Invite tab to view all open invitations. 
  4. Ready to invite new members to your team? Click on Invite Team Members to start inviting individuals to your team. 
  5. Enter the email addresses of the team members you’d like to join and create Fluid Truck Accounts. You are able to enter as many emails as you’d like! If you have a ton of email addresses to enter, check out the website tutorial below for bulk upload instructions. 
  6. Once you have completed entering the email addresses, click Next to assign roles to the invitees. 
  7. On the Invite Team Members page, you will be able to assign the invitees to an Admin* or Driver** roles. Select the box next to their email to designate the selected person as Admin. By leaving the check box unchecked, you are designating the person as just a driver. 
  8. Once you have assigned roles to invitees, click the Send Invitations button to fire off the emails!
  9. Returning to the Organization Management Tab, you can now see pending invites to the selected team members under the invited tab. 
  10. Once a team member has accepted the invitation and created a fluid truck account, they will appear under the Accepted Tab. 
  11. Make a mistake? No problem. You can take various actions on invitees including resending invitations, changing a type in an email address, or deleting an invitation you sent to an incorrect email address or wrong team member.

*Admin users have all the same permissions as you do. They will be able to book vehicles, view invoices, make extensions, complete pickup inspections and manage the team members. 

**Driver users have restricted permissions. They simply have the ability to complete pickup inspections and drive Fluid vehicles. They do not have any of the other capabilities listed above.

Congrats, that’s it! Inviting admins and drivers to your organization is a great way to create a more efficient process when renting and managing your Fluid vehicles.

Please note invitations will expire within 72 hours, so make sure to follow up with your invited team members, before the link expires!

Step-by-Step Instructions

  1. Visit Fluidtruck.com. Click on the icon of the avatar in the top right corner.
  2. Select the Login button and sign in with your business account credentials. 
  3. Click the avatar icon in the upper right corner, and then select Team & Performance to view your team. 
  4. Similar to the mobile app, you can invite new team members using the Invite Member button. Or you can see your pending invites by clicking on the Pending tab.
  5. Within the web application, there are two ways to invite team members. Invite Option One is by email address. Start by entering in email addresses in the Enter Email Address field. After you are done typing, click outside the field or press the enter key. Remember, you may enter multiple emails at once. 
  6. If you need to onboard a ton of new team members at once, manually typing in emails may be inefficient. If you have an excel sheet containing a column of email addresses, you are in luck! You can copy/paste the column right into the Enter Email Addresses field to save some time. Make sure to not copy the column header in excel. 
  7. Once all your email addresses have been entered and/or pasted, click the Next button to assign each team member a role.
  8. Within the Invite Member pop-up, you may assign the invitees to an Admin* or Driver** roles. By selecting the check box next to the individual email, you are designating this person as an admin. By leaving the check box unchecked, you are designating the person as a driver.
  9. Once you have assigned roles to invitees, click the Send Invitations button to fire off the emails!
  10. Invite Option Two. If you only need to invite drivers to your organization, there is another super-efficient way to get drivers on board by Invite Driver with a Shareable Link.  You can generate a shareable link by clicking on the Copy Driver Invite Link button. This will copy a URL to your clipboard and you can distribute the URL to your driver on different communication platforms - email, text message, slack, etc. Make sure to only distribute the link to a controlled group of people. Anybody who gets the link within 72 hours of generation will be able to join your organization as a driver. 
  11. Recipients who received the link and open the invite will be directed to the Fluid Truck Sign Up form to create an account. Once the driver creates an account, they will automatically join your business. If the driver already has a Fluid Truck account, they can simply Log In to join the business.

If applicable: Activating the charger with RFID
If the charging station requires RFID activation, check your keys for an RFID tag.

Follow these steps:
1. Activate the charging station by tapping the tag against the charging station. 
2. Wait for the charger to activate.
3. Plug the charger into the vehicle. 
4. Make sure the vehicle is charging before leaving.
